BOOKING TERMS AND CONDITIONS
YOUR CONTRACT IS WITH Roaming Spirit Retreats Ltd. Company Registration Number 10479944 of 1 The Old Factory, Bryn Road, Llanfairfechan, LL33 0SA, UK
1. Booking & Payment
By making a booking with Roaming Spirit Retreats Ltd, you confirm that you have read, understood and accepted these Booking Terms & Conditions.
Your booking is only confirmed once we have received your booking form, the required payment and have issued you with a written booking confirmation by email.
Deposit
A non-refundable and non-transferable deposit of £200 or £500 (depending on the retreat) is required to secure your place.
Your deposit secures both your retreat place and your preferred room selection (subject to availability).
The deposit is non-refundable and non-transferable in all circumstances, including cancellation by the guest, illness, injury, change of personal circumstances or inability to travel.
For this reason, we strongly recommend purchasing comprehensive travel insurance immediately after booking.
Balance Payments
The remaining balance is due 10 weeks before the retreat start date.
Where monthly payment plans have been agreed, payments must be made on time. Failure to maintain your payment plan may result in your booking being cancelled and any monies paid retained in accordance with our cancellation policy.
Bookings made within 10 weeks of departure require full payment at the time of booking.
2. Cancellation or Changes by Roaming Spirit Retreats Ltd
We reserve the right to cancel or postpone any retreat due to insufficient numbers, safety concerns or circumstances beyond our control.
If we cancel a retreat:
- All monies paid will be refunded in full, or
- You may transfer your booking to another retreat or rescheduled date.
We are not responsible for any costs incurred by you, including flights, accommodation, transfers, travel insurance or any other travel arrangements booked independently.
We shall not be liable for cancellation or changes caused by events beyond our reasonable control including (but not limited to):
- adverse weather
- pandemics
- natural disasters
- government restrictions
- industrial action
- terrorism
- transport disruption
- force majeure.
Roaming Spirit Retreats Ltd will not be responsible for any monies you have paid for travel to and from the retreat.
3. Mandatory Travel Insurance
Comprehensive travel insurance is a mandatory condition of booking all residential retreats.
Your policy must include cover for:
- medical expenses
- cancellation
- curtailment
- travel delays
- personal belongings
- emergency repatriation
- any activities you intend to participate in during your retreat.
Guests are required to provide their travel insurance provider and policy number on the Guest Information Form no later than 8 weeks before the retreat.
Failure to provide valid travel insurance details may result in your booking being cancelled without refund.
We strongly recommend purchasing your travel insurance immediately after paying your deposit.
4: CANCELLATION BY YOU
All cancellations must be made in writing by the person who made the booking.
The date we receive your written cancellation will determine the cancellation charges.
Cancellation Charges
Deposit
Your deposit is 100% non-refundable and non-transferable.
In addition:
90 days or more before departure
Deposit retained.
30–89 days before departure
75% of the total retreat cost is payable.
Less than 30 days before departure
100% of the retreat cost is payable.
We strongly recommend claiming any losses through your travel insurance provider.
5: ADVANCE GUEST INFORMATION
All guests must complete our confidential Guest Information Form no later than 8 weeks before travel.
This allows us to:
- understand any medical conditions
- accommodate dietary requirements where possible
- prepare for your arrival
- obtain emergency contact details
- record your travel insurance details.
Failure to complete the Guest Information Form may result in you being unable to participate in the retreat.
6: FOOD ALLERGIES AND DIETARY REQUESTS
Any allergies or dietary requirements must be advised before booking.
Whilst we will do everything possible to accommodate dietary needs, we cannot guarantee that every request can be met.
If we are unable to safely accommodate your dietary requirements and you choose not to attend, our normal cancellation policy will apply.
7: GUEST CONDUCT
We aim to provide a welcoming, safe and respectful environment for everyone.
Any guest displaying behaviour including:
- abusive language
- aggression
- violence
- harassment
- discrimination
- excessive alcohol consumption
- illegal drug use
- behaviour affecting the enjoyment or safety of others
may be asked to leave immediately.
No refund will be given in this circumstance and all costs for early departure must be met by the guest.
8: RETREAT PRICES
Unless otherwise stated, retreat prices include:
- accommodation
- meals detailed within the itinerary
- scheduled yoga classes
- guided walks
- retreat activities listed as included.
Prices do not include:
- flights
- travel insurance
- visas
- optional excursions
- personal spending
- airport transfers unless specifically stated within the retreat description or booking confirmation.
9: TRAVEL ARRANGEMENTS
Guests are responsible for arranging their own travel unless otherwise stated.
Where a retreat includes a group airport transfer, this will be clearly stated within the retreat information and booking confirmation.
We may recommend suitable flights but cannot accept responsibility for changes, delays or cancellations made by airlines or transport providers.
10. Health & Participation
By attending a retreat you confirm that you are medically fit to participate.
You agree to advise us of any medical conditions, injuries or health concerns before travel.
Participation in yoga, hiking, swimming, paddleboarding, horse riding or other activities is entirely at your own risk.
We recommend consulting your GP before attending if you have any concerns regarding your health.
11. Liability
Whilst every reasonable care is taken to provide a safe retreat experience, participation in yoga, outdoor activities and adventure experiences carries an inherent level of risk.
Roaming Spirit Retreats Ltd accepts no liability for injury, illness, loss or damage except where caused by our proven negligence.
Optional excursions booked independently are not our responsibility.
12. Passports & Entry Requirements
Guests are responsible for ensuring they have:
- a valid passport
- any required visas
- vaccinations
- health documentation
- entry requirements for the destination country.
13. Complaints
If you experience any issue during your retreat, please notify your retreat host immediately so we have the opportunity to resolve the matter.
If your complaint cannot be resolved during the retreat, it must be submitted in writing within 14 days of your return.
14. Photography & Marketing
During our retreats, photographs and short videos may be taken by Roaming Spirit Retreats Ltd to capture the experience and atmosphere of the retreat. These images may be used for marketing and promotional purposes, including on our website, social media platforms, printed materials and future retreat advertising.
By attending a retreat, you consent to being included in group photographs and videos unless you notify us in writing before the retreat begins or inform your retreat host on arrival that you do not wish to appear in any promotional material.
We will always respect your privacy and will never intentionally use photographs that may cause embarrassment or discomfort. Where practical, we will seek your permission before using close-up individual photographs for marketing purposes.
If you choose to opt out, we will make every reasonable effort to ensure you are not featured in any promotional images or videos.
15. Governing Law
These Booking Terms & Conditions are governed by the laws of England and Wales. Any disputes arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the Courts of England and Wales.
